Swappie Trip Cancellations and Adjustments Policy
At Swappie, we strive to ensure that trips proceed smoothly and as planned. However, we understand that unexpected situations can arise that require Members to cancel or modify their travel plans.
This Trip Cancellations and Adjustments Policy is designed to provide Members with a clear, fair, and predictable framework for cancellations and booking changes, while protecting the reliability and trust that make the Swappie community possible.
Swappie is operated by Majerszki Nikolett E.V., Hungary (“Swappie,” “we,” “us,” or “our”).
When Members honor their commitments, they contribute to a dependable and respectful home-sharing ecosystem. Cancellations may significantly impact other Members’ travel plans, credit balances, and personal arrangements. This Policy balances flexibility with accountability.
This Policy forms part of and is incorporated into the Swappie Terms of Service.
1. Guest Cancellation Policy
Swappie’s Guest cancellation policy provides reasonable flexibility while recognizing that Hosts invest time, effort, and trust when accepting bookings, and may rely on earned Credits to plan their own travel.
Cancellation timing determines refund eligibility.
1.1 Free Cancellation
Guests may cancel a confirmed reservation without penalty if:
- within 24 hours of confirming the booking, or
- 60 days or more before the scheduled check-in date
Outcome:
- 100% refund of Credits used
- 100% refund of Service Fees
- 100% refund of Cleaning Fees
1.2 Partial Refund (30–60 days before check-in)
If a Guest cancels between 30 and 60 days before check-in:
- 75% of Credits used will be refunded to the Guest
- 25% of Credits (up to a maximum of 14 Credits) will be transferred to the Host
- 75% of Service Fees will be refunded
- 100% of Cleaning Fees will be refunded
1.3 Late Cancellation (less than 30 days before check-in)
If a Guest cancels less than 30 days before check-in:
- 0% of Credits will be refunded
- 100% of Credits used (up to a maximum of 14 Credits) will be transferred to the Host
- Service Fees are non-refundable
- Cleaning Fees may be partially/fully refunded depending on schedule
1.4 Very Late Cancellation (within 7 days of check-in)
Cleaning Fees may be subject to partial or full retention to cover operational costs already incurred.
1.5 Cancellation within 24 hours of check-in
Only Cleaning Fees that have not already been incurred may be eligible for refund. Credits and Service Fees are non-refundable.
2. Host Cancellation Policy
Hosts are expected to honor confirmed reservations. Host cancellations may significantly disrupt Guests’ travel plans and undermine trust within the Swappie community.
2.1 Free Host Cancellation
Hosts may cancel without penalty if within 24 hours of confirmation OR 60+ days before check-in.
2.2 Moderate Host Cancellation (30–60 days before check-in)
The Host must transfer Credits equal to 25% of the original booking value (up to 14 Credits) to the Guest as compensation.
2.3 Late Host Cancellation (less than 30 days before check-in)
The Host must transfer Credits equal to 100% of the original booking value (up to 14 Credits) to the Guest.
2.4 Calendar Blocking
Swappie may block affected dates from being rebooked and review Host behavior if cancellations occur repeatedly.
3. Excessive Cancellations
Swappie monitors cancellation patterns to maintain platform trust. If a Member cancels multiple confirmed reservations within a 12-month period, Swappie may issue warnings, suspend functionality, or terminate membership.
4. Swappie Platform Support and Limitations
Startup Version – No Insurance or Guaranteed Replacement
Swappie is currently operating in an early-stage version without insurance-backed trip protection or guaranteed replacement accommodations. Swappie may assist in finding alternative stays or offer goodwill Credits at its discretion, but does not guarantee outcomes or reimburse external costs (flights, hotels, etc.).
5. Trip Changes and Adjustments
5.1 Guest-initiated changes
Guests may request changes (extending, shortening, guest count). Host approval is required. Shortening stays less than 30 days before check-in may result in forfeited Credits.
5.2 Host-initiated changes
Hosts requesting partial cancellations or date changes may incur Credit penalties equivalent to cancellation rules.
6. Extenuating Circumstances
Swappie may waive cancellation penalties in serious and unforeseen events outside a Member’s control (documentation required).
Qualifying Examples:
- Serious illness (medical proof)
- Death in immediate family
- Travel restrictions / Natural disasters
- Civil unrest / Evacuation orders
Non-qualifying Examples:
- Voluntary plan changes
- Work schedule changes / Missed flights
- Lost travel documents
- Minor illness (no documentation)
7. Platform Enforcement
Swappie reserves the right to cancel reservations if Members violate the Terms of Service, Member Code of Conduct, or applicable law.
8. Acknowledgement of Platform Role
Members acknowledge that Swappie is a technology platform, not an insurer, and is not liable for losses beyond described remedies.
